Taxes are usually discussed as if they begin and end with filing a tax return.

Gather your documents. Find somebody to prepare the return. Sign it. File it. Hope for the best.

But your tax return is really the finished product of financial decisions and responsibilities that started long before tax season.

The truth is, your taxes start long before tax season. The way your business is set up, how you make and manage your money, and the records you keep throughout the year all come together on your tax return. Once itโ€™s filed, what you do with that information going forward is just as important.

That is why I teach taxes using the Head-to-Toe Tax Framework.

I wanted a way to make something that can feel complicated, technical and disconnected actually make sense. I show people how all the pieces fit together because I believe you should understand your finances well enough to participate in the conversation instead of simply handing everything over to someone else.

Letโ€™s start at the top.

๐Ÿ‘‘ The Crown: Get Your Mind Right

Know your responsibilities.

The crown represents leadership, ownership and financial power.

We hear a lot about being the CEO of your business. I want you to think like the CFO, too.

That doesnโ€™t mean you need to become an accountant or prepare your own tax return. It means understanding enough about your financial life to know what you are responsible for, what questions to ask and when something doesnโ€™t make sense.

Your tax responsibilities are affected by things like your filing status, the type of income you receive and how your business is legally and taxably structured. This is where a little knowledge can become dangerous.

You may hear that every business owner needs an LLC. Or that once you make a certain amount of money, you should automatically become an S corporation. Or that one particular business structure is the secret to paying less in taxes.

Itโ€™s not that simple.

The right entity depends on the actual business, its profit, how the owner is paid, administrative requirements, future plans and several other factors. A strategy that makes sense for one business owner may create unnecessary expense and complexity for another.

So before changing anything because somebody online said you should do it, understand what problem you are actually trying to solve.

Your crown is about knowing the rules that apply to you.

You can outsource the work, but never outsource your financial power.

๐Ÿ‘™ The Layers: Behind the Scenes

Get your money tight and right.

Nobody sees the layers underneath the outfit, but they help hold everything together.

Your bookkeeping works the same way.

Long before numbers land on a tax return, money is moving through bank accounts, credit cards, payment processors, apps and sometimes plain old cash. If what is happening behind the scenes is sloppy, what shows up on the outside will be just as sloppy.

I teach bookkeeping through the Five R's:

  1. Recognize what money is coming in and going out, and whether it belongs to you personally or to the business.

  2. Record your transactions consistently and put them in the right categories.

  3. Reconcile your records to your actual bank and credit card activity so you can catch missing, duplicated or incorrect transactions.

  4. Report the information in useful financial reports so you can see what the numbers are telling you.

  5. Repeat the process regularly instead of trying to reconstruct an entire year when tax season arrives.

Good bookkeeping is not about making everything fancy.

It is about being able to answer basic questions about your own money.

How much did the business really make? What did it cost to make it? Where did the money go? What do the records say compared with what is actually in the bank?

This is the part people often want to skip because it happens behind the scenes.

Just like a good foundation garment, the layers help everything else sit where it is supposed to sit.

๐Ÿ‘— The Silhouette: Make It Make Sense

Understand your tax return.

Now we can see the shape.

Your tax return takes information from all those different pieces and brings it together. At a basic level, you are looking at income, deductions, credits and taxes.

A deduction reduces the income that is subject to tax. A credit reduces the tax itself. Neither one means something was โ€œfreeโ€. This tends gets lost in a lot of viral tax advice.

For example, you may hear someone say, โ€œBuy the luxury truck. It's a write off.โ€

Even if a vehicle qualifies for a particular deduction, you still spent real money to buy it.

If you spend $150,000 because you believe it will save you $20,000 in taxes, youโ€™re still $130,000 out of pocket! Tax planning is not an excuse to spend a dollar just to save a fraction of it.

Did that purchase make financial sense for you and your business in the first place?

Every deduction and credit does not apply to every taxpayer. Your occupation, business activity, use of the expense, documentation and individual circumstances matter. The goal is not to collect every tax trick you heard about online. The goal is to understand your money well enough to see how your income, expenses, deductions, credits and taxes came together.

The silhouette is where the numbers finally have shape.

๐Ÿ‘œ The Bag: Secure the Bag

Keep the IRS from digging in it.

Making money is one thing. Keeping it is another. You need to understand the obligations that can reach into your bag if you ignore them.

Depending on your situation, that can include things such as:

  • Income taxes

  • Self employment taxes

  • Estimated tax payments

  • Payroll taxes

  • State and local taxes

  • Sales taxes

  • Information reporting requirements

  • Penalties and interest

  • IRS or state tax notices

You do not need to memorize every tax rule, but you do need a system for knowing which responsibilities belong to you.

Some of the most expensive tax problems are not caused by complicated tax strategies. They come from ordinary things that were ignored too long, such as missed filings, unpaid balances, incorrect records or notices sitting unopened on the kitchen counter.

Securing the bag means being proactive.

Keep good records and always address any tax notices. Ask questions when something looks wrong. Handle problems while they are still manageable.

Making money is one thing. Protecting it is another.

๐Ÿ‘  The Level Up: Next Steps

Make smarter money moves going forward.

Now that the whole outfit is together, where are you going? This is the piece that gets missed when taxes are treated as something you deal with once a year.

Your completed tax return contains information about what already happened. The real opportunity is using that information to make better decisions about what happens next.

As your business grows, your financial strategy should grow with it. The bookkeeping system that worked when the business first started may not work anymore. Your entity structure may be worth another look. Tax planning needs to become something you do throughout the year instead of after the money has already been made and spent.

The next smart move isnโ€™t always another deduction. Sometimes itโ€™s better cash flow or putting a stronger financial system in place.

This is where I distinguish between maximizing and optimizing.

Maximizing asks, โ€œHow do I get the biggest deduction or pay the least possible tax?โ€

Optimizing asks a better question:

โ€œWhat financial decision makes the most sense for my whole situation?โ€

Paying more in taxes isnโ€™t automatically a bad thing. Spending money you donโ€™t need to spend just to get a deduction can leave you with less cash. Chasing the lowest possible tax bill today isnโ€™t always the best move for the business youโ€™re trying to build tomorrow. The goal is to make the best financial decision overall.

You do not have to know everything. But you should know enough to sit at the table, understand the conversation and make informed decisions about your own money.
